Corporate Executive Assistant Team Manager

Our Corporate Team provides capabilities and services across Finance, IT, HR, Marketing and Operations, all of which enable the firm to deliver its strategic and business goals.  The recent appointment of Baringa’s first COO into the partnership signifies a new level of investment in the development and leadership of this team and considerable work is underway to review and transform how the teams operate and perform. 

What will you be doing?

Heading up the Executive Assistants team this person will;

  • Manage and deliver the overall support model for the partnership – individual EA allocations, workload balancing across the team, Partner support reassignment
  • Provide day to day management and supervision of the Exec Assistants team to ensure the needs of business leaders and their teams are met
  • Lead the performance management and development of all team members through the completion of bi-annual appraisals (within the banding and salary review process) and setting objectives for team members.
  • Mentor, provide support and guidance, and recommend training to support the progression of individual Executive Assistant’s career journeys
  • Manage the team’s recruitment and headcount to enable the required executive support service to be provided within budget.
  • Own and manage the coverage model around Annual leave, Absence and Illness, or occasional working from home etc., ensuring effective preparation and handover to ensure minimal disruption.
  • Where required, provide oversight and support for client and internal events through assisting the separate Events team
  • Where required, work directly with EAs to execute tasks required by partners.
  • Oversee executive travel management support through partnering with travel providers to ensure they deliver against and in line with the business’s requirements and expectations.
  • Work directly with the International Business Support Managers to ensure the effective delivery of executive support in our overseas locations
  • Proactively support and promote the use of self-service approaches and tools to improve team effectiveness and delivery
  • Conduct regular catch up meetings with direct reports internationally and hold team regular meetings to maintain communication and contact maximising all opportunities to knowledge share
  • Provide direct support to one or more Partners where required
The Executive Assistant Team Manager will be required to apply high levels of emotional intelligence to maximise each opportunity with every team member, ensuring that a range of different working styles are accounted for and tailoring discussions and approaches to deal with this range of working styles. The successful candidate will be someone who can demonstrate an ability to apply solutions to overcome challenges effectively and positively, encouraging team members to mirror and demonstrate this quality.

The EA team manager will be expected to be able to identify and deliver process optimisation within the context of executive support, building on the existing foundations to continue to deliver improvements in the way executive support is provided. The successful candidate will be able to develop strong internal relationships to help embed changes in process.

Here are our key requirements for this role:

  • Solid experience of managing a large team (20+) for at least 3 years
  • Experience of management with and through Team Leaders.
  • Experience in managing resources across multiple geographies
  • EA or PA Experience of 7 years + to multiple people at one time
  • Excellent planning, administrative, organisational skills with strong attention to detail.
  • Proficient in MS Office (Excel, Outlook, PowerPoint, Word) and share point.
  • Excellent interpersonal skills and the ability to communicate and work well with all levels of employees.
  • Happy to work flexibility in a fast growing business that requires individuals to "muck in" and support each other at all times.
  • Able to deal with sensitive matters in a discrete and professional manner with a high level of personal and professional integrity.
